Who we are
Platoop is a timesheet, approval, and billing platform operated by Wow Remote Teams, a staffing agency placing bilingual remote professionals with client companies. Wow Remote Teams is the data controller for the personal data described here. You can reach us at hello@platoop.com.
Who this applies to
Platoop is used by the talent Wow Remote Teams places, by the managers who supervise them, and by staff at the client companies they work with. This policy covers the personal data those people give us, or that is created as they use Platoop.
What we hold
- Name.
- Work email address.
- Phone number, where one has been provided.
- The client a person is assigned to, their contract hours, their start date, and their pay rate.
- Hours submitted, the tasks those hours were logged against, timesheet status, and any comments or files attached to a timesheet.
- Records of the notifications we sent, including whether a message was delivered and read.
Why we hold it
To operate the staffing relationship: to record hours worked, to route them for approval, to calculate what is owed and what is billable, and to keep an auditable history of that process. We do not sell personal data, and we do not use it for advertising or profiling.
Phone numbers
A phone number is used for one thing: sending the timesheet notifications a
person has opted into. Notifications are
off by default for every person and every message type. We do
not send marketing messages to any number in Platoop. A person can turn
notifications off at any time in their settings, or by replying
STOP
to any WhatsApp message from us — which takes effect immediately. See

Who else sees it
Managers and administrators at Wow Remote Teams see the data they need to run the placement. Client-company contacts see the timesheets and hours for the people assigned to them. Beyond that, personal data is shared only with the service providers that run the platform on our behalf — hosting, database, file storage, email delivery, and WhatsApp message delivery through Meta's WhatsApp Business Platform — and only to the extent they need it to provide that service.
How long we keep it
Timesheets and the records derived from them are kept for as long as we need them for tax, accounting, and contractual purposes, because they are a record of paid work. Other personal data is kept for as long as the person's relationship with Wow Remote Teams is active, and for a reasonable period afterwards.
How we protect it
Access to Platoop requires an individual account, and what each account can see is limited to the role it holds. Data is encrypted in transit.
Your rights
You can ask us for a copy of the personal data we hold about you, ask us to correct it if it is wrong, ask us to delete it, or object to how we are using it. Write to hello@platoop.com and we will respond. Where we are required to keep a record — a timesheet that has already been invoiced, for example — we will tell you, and explain why.
Changes to this policy
If we change this policy we will update the date at the top of this page.
